EMAIL SENT TO MEMBERS NOVEMBER 19, 2005
If you attended the club's meeting last Thursday, you are aware that work is progressing on our new scheduling system. IF you were not there, there are some important items you must be aware of in order to begin using this new system.
First, in order to log on to the system, you will need a user name and password. When you log on for the first time-- go to http://my.schedulemaster.com/ (NOTE: Do NOT put in www in this address). You will be asked for two things: 1) User Number or User Name and, 2) PIN # or Password. Your user name is the 1st letter of your first name followed by (no spaces) the first six letters of your last name. If your last name does not have six letters, then it will be all the letters of your last name. For example, my username is mjuel. Your PIN # is PROBABLY the same number you had with the current telephone schedule system. I say PROBABLY, because there are a few individuals who had to have this number changed. If you can't log on with your old number, please either email or call me and I'll give you your new number.
Next, once you log on, you will need to go and check your medical and BFR dates. After we loaded the information from the current system into the new system, we realized that the dates are wrong. We supplied the dates a medical or BFR was done, and the new system wants the date the medical and BFR EXPIRES. You will need to change the dates (in most cases, since we attempted to change those for those members whose last names end in A-C). If your medical is good for one, two or three years, make sure you have the correct ending year. Also, ALL BFR AND MEDICAL DATES SHOULD BE SET TO THE LAST DAY OF THE MONTH IT EXPIRES.
Once you have your BFR and MEDICAL dates set, be sure to click on the RED -SAVE- button. Then Log off the scheduling system, and then log back in. The new dates don't go into effect until you do this. Now you can begin scheduling aircraft.
Once you log back in, you will see your name in the upper right hand corner of the screen and immediately above that is a link called: Training. If you click on this, you will be prompted to complete a short course on how to reserve an aircraft.
Currently, you can only schedule aircraft for dates on or after December 1, the time the new scheduling system goes into full operation. If you had any aircraft scheduled on the current telephone system, you MUST reserve it again on the new web-based system. Once this happens, you will have additional responsibilities which will come in a future email. Additionally, this information will be availalbe on our website. Look for a link on our home page. There are also sheets available to help you use a touch tone telephone to made schedules. Go to http://www.schedulemaster.com/1stdemo.htm and print the page for complete instructions.
If you have questions as you go through this transition, please call me (574) 534-8868. You may leave me a message or call me on my cell phone (574) 322-1660. Be aware that I will be on vacation from Dec. 3-11 (convenient, huh!), and during this period, Jack Limberg will be happy to address your questions.
Please start using the system and you'll find how user friendly it is and the amount of information you have available.

HOW TO EDIT MEDICAL AND BFR DATES IN SYSTEM
Here is  some help on how to find the area to change your medical and BFR information (as well as other information including address, phone numbers, email addresses, etc.
After you log onto the system, there is menu hierarchy on the top of the page. When you click on one of the mail items across the top, a secondary menu appears immediately below it. It details several options that are available from the item you just selected. For example, to change your personal information (medical and BFR dates), clink on the 'User' button. When you do this, you'll see the second row changes and the following items become available: User List and User Edit. Click on User Edit and then a THIRD row of menu items becomes available. On the third row, click on Status and you'll be able to change your medical and BFR dates.
